The Team

The foundation’s U.S. Program (USP) works to ensure that people navigating US education systems and job markets can develop the knowledge, skills, and agency needed to thrive in their communities such that race, ethnicity, gender, and socioeconomic status are no longer predictors of educational attainment and economic mobility and security.

Your Role
You contribute to the improved efficiency, effectiveness and execution of the team’s work and operations. You facilitate and coordinate a range of activities and projects in support of the team and/or division, while also providing wide and varied administrative and operational support. You work collaboratively with both internal and external partners, including grantees, event attendees or foundation job candidates. You build and maintain information, systems and processes to support the work of the assigned team and team members. This position reports to the Director, Strategy Planning & Management & Chief of Staff (DSPM/CoS).

What You’ll Do

  • Coordinate daily workflow and project activity for team and principal(s) on key initiatives. Drive timely completion of tasks and deliverables and follow up on action items.

  • Provide calendar, expense and administrative support to key principals.

  • Assist in developing deliverables and monitoring status, including document and communications creation, presentation preparation, logistical support, and SharePoint management.

  • Schedule and assist with planning for events, complex meetings, and presentations. This includes coordinating arrangements for participants, handling logistics, note-taking, material preparation, material dissemination, meeting facilitation, and post-event action item follow-up.

  • Provide seamless project management, planning, coordination, and preparation for multiple deliverables and workstreams. Triage, manage, and prioritize multiple tasks.

  • Work on special projects, including conducting basic research and analysis of data, tracking expenses for meeting attendees, and coordinating partner communications.

  • Support the execution of business support contracts, as needed, which relate to team or division-level goals on DEI, facilitation, and communications.

  • Support inclusive culture through modeling behaviors and actions; escalate issues in a timely fashion to appropriate stakeholders.

Your Experience

  • A Bachelor’s degree or equivalent demonstrated experience.

  • Practical knowledge of how to synthesize multiple data sources and keeping tasks and projects on time and on budget.

  • Sound and timely decision-making based on established project timelines.

  • Practical knowledge of setting priorities and meeting deadlines while balancing the needs of the portfolio and team, including complex calendaring, event planning, and travel logistics.

  • Excellent oral and written communication skills; must be able to communicate effectively with internal and external contacts and have the ability to adjust to a wide variety of working styles.

  • Some experience in program, process, and project definition and management.

  • Some experience leading multiple projects simultaneously, including project definition, planning and scoping the work, and coordinating and developing appropriate solutions.

The typical salary range for this role is $26.78 to $49.44 per hour. The exact offer will be determined by a variety of factors such as the candidate’s individual skills, qualifications, and experience relative to the requirements of the role.

  • Must be able to legally work in the country where this position is located without visa sponsorship.

**Must be able to work from the Seattle, WA office 50% of the time. Relocation is not provided at this time.
