Family and Community Services (FCS) Project Coordinator

Position Type: Full-Time (37.5+ hours/week), Non-Exempt

Work Setting: Onsite

Reports To: Senior Director of Family and Community Services

Pay Range: $22.75-$23.75/hour

Position Overview:

JFS is looking for a resourceful, mission-driven individual to join the Family and Community Services Division as the FCS Project Coordinator. In this role, you will have the opportunity to use your multi-tasking, organizational, and collaborative skills to make a meaningful difference in your community and help change lives across San Diego. The FCS Project Coordinator plays an integral role on the team and supports the Senior Director of Family and Community Services by being the support hub for divisional program operations. This position reports directly to the Senior Director of Family and Community Services and works closely with the other Program Directors, Program Managers, and the rest of the coordinator/assistant team. Specifically, the FCS Project Coordinator is the support hub for program operations, focused on fiscal tracking (credit cards, gift cards, employee expenses) meeting coordination and preparation, data entry and report generation, office related support functions, and special projects.

Responsibilities:

  • Fiscal tracking duties: entering invoices, check requests, credit card reconciliation, and employee reimbursement into internal financial system for payment and budget reconciliation, running monthly financial reports, gift card reconciliation and controls, petty cash management, and credit card custodian
  • Builds and maintains strong working relationships with key leader’s executive assistants/team members in departments such as HR, Finance, IT, and others
  • Meeting support for the FCS Senior Director, including Outlook calendar scheduling, meeting set up, drafting agendas, gathering and disseminating documents, and notetaking
  • Supporting the FCS Senior Director in administrative duties such as completing forms and uploading to adobe sign, expense reports, etc
  • Collaborate with other FCS program assistants/coordinators with an eye for standardizing office processes
  • Office related support tasks include office supply ordering, FCS mail collection and distribution, etc
  • Supportive tasks to execute special projects, examples of past special projects include filing system organization and supporting operational processes when launching new FCS programs
  • Other duties as assigned

Skills/Experience/Abilities That Are a Must-Have:

  • Bachelor’s degree or three years work experience providing administrative support
  • Technologically savvy, highly proficient in Microsoft Office programs including Teams, Word, Excel, Outlook, and PowerPoint, along with Zoom
  • Excellent communication and organizational skills combined with being a self-starter, ability to handle diverse and sensitive/confidential assignments
  • Ability to establish and execute workflows in partnership with others
  • A desire to have fun and laugh while working hard

  • Must have a valid CA driver's license, a clean driving record, insurance, a reliable personal vehicle, and a willingness to travel off-site

Skills/Abilities We’d Like You to Have:

  • Experience in a nonprofit setting
  • Fluency in English, bilingual (Spanish, Arabic, Tagalog, or Vietnamese) preferred
  • Someone who thrives on helping people and following through on every detail
  • Willing to adjust work schedule and occasionally work evenings depending on staffing needs
  • Customer service orientation
