Personnel Liaison & HR Transactions Coordinator
Job Description
Specifically, this position provides expertise and support to hiring managers through position development, posting, candidate review, hiring process development and submission of all hiring materials to HR, while also receiving and coordinating requests for consultants, contractors, and interns. To ensure effectiveness and efficiency, this position assesses and recommends changes to improve systems, operations, methods, and procedures for recruiting, hiring, and retaining staff.
Duties and Responsibilities (these duties are a general summary and are not all inclusive):
Hiring Systems, Process Improvement & Best Practices
- Document Standard Operating Procedures and all aspects of pre/during/post-hiring processes.
- Provide technical assistance and 1:1 training and support to Offices’ Directors and Hiring Managers.
- Maintain job descriptions and organizational charts for the Offices.
- Provide HR related information to employees, including payroll, self-service time and attendance, hiring process, etc.
- Contributes to a work environment that fosters diversity, inclusion, collaboration, and the understanding of working toward a common goal.
Development, Pre-Hiring & Posting Processes
- Develop resources to support hiring managers, such as: checklists, process workflows and workplans to ensure effective and efficient hiring and tracking.
- Develop hiring workplans and timelines to assist hiring managers in moving the position along at a steady pace.
Recruiting and Hiring Processes
- Provide ongoing technical assistance, resources and best practices in effective related to recruiting, screening, interviewing, and hiring.
- Improve systems and processes applying a racial equity lens to resume review, interview team selection, interview questions and candidate selection.
- Ensure accurate and timely completion of hiring packages.
Onboarding & Retention
- Submit IT requests for onboarding, new equipment for new and existing employee/contractors and provide follow up as necessary.
- Provide resources, materials, support, and oversight of onboarding, exit or termination processes following proper protocols in coordination with security and facilities staff.
- Participate in personnel liaison meetings as well as committees and subcommittees seeking to change or improve HR transactional processes.
Required Qualifications:
- Strong written and verbal communication skills
- Exceptional organizational skills, including the ability to maintain accurate records and manage multiple responsibilities in a rapidly evolving environment.
- Ability to exercise sound judgment and discretion in handling confidential information.
Preferred Qualifications:
- Demonstrated commitment to establishing supportive working relationships through effective communication, including the ability to engage and value the input of diverse stakeholders.
- Proficient in working both independently and in a team-oriented and collaborative environment.
- Knowledge of the principles and practices of fiscal management, contract process and human resource management including planning, forecasting, organizational development, etc.
- Proficient with Microsoft Office products including Word, Excel, PowerPoint, Outlook and Teams.
