Latin America is home to 40% of the world’s species, a third of its freshwater, a quarter of its forests and 25% of arable land. Its forests are essential to the health of our warming planet, and its lands provide 16% of the world’s food and agriculture exports. Functional ecosystems are the engine of Latin America´s economic growth and play a pivotal role in meeting global demand for food, water and energy. Simply put, there is no place more important for plant and animal diversity, climate regulation and the global economy than Latin America.


With the purpose to standardize processes, create effectiveness and have HR specialized and centralized services to the Business Units in Latin America Region (LAR), the operational processes of Hiring, Termination and Compensation were centralized in a regional team called HROS (Human Resources Operational Services). This team serves the 10 Business Units and 9 countries in the Region.

WHAT WE CAN ACHIEVE TOGETHER

The HR Operations Associate will be responsible for a variety of Human Resources operations activities as part of the HR Operational Services (HROS) in Latin America providing support to LAR Business Units. The Associate will be responsible for guaranteeing that the Business Unit’s processes for Compensation, Hiring and Termination under their control are performed according to TNC & LAR processes and guidance, on a timely basis and with high quality. Provide to LAR employees a unique experience, regardless of the area or country in which they work, both in terms of homogeneity of processes and expectations regarding resolution times and quality. They are the key point of contact for operational matters related to Hiring, Termination and Compensation and they should guarantee that any interested party it’s involved in a timely manner. They will use available systems and resources to maintain, track, and research data, and to produce and review reports. They will apply established processes and practices to improve effectiveness. They will coordinate activities with multiple variables, set realistic deadlines and manage the timeline. They will handle inquiries about Hiring, Termination and Compensation. This position could include travel, and not frequent but sometimes needed work overtime, evenings and weekends.

They will be required to develop excellent knowledge of the HR operations and take a proactive role in ensuring strict compliance with guidelines and standard operating procedures relevant to their/position. This position requires a proactive and problem-solving mentality in high demand environment.

Most of the activities/responsibilities of the Associate are highly confidential, hence the candidate chosen must maintain confidentiality and will need to acquire strong knowledge of TNC's policies, procedures and operations. The candidate chosen must also be a good communicator and team player, who can be firm but diplomatic and polite in representing the HROS processes and requirements to other staff and programs.

This position reports to the HR Ops Coordinator and is on the HR LAR team.

Some of the main responsibilities are detailed below:

  • Notify Operations team and interested parties of any updates on the processes and cases they are handling in a timely manner.
  • Managing from start to end the operational processes in Compensation, Hiring and Termination according to manuals and responsibilities for the country they are assigned. Coordinate the work of any other area that needs to be involved.
  • Guarantee that correct information is uploaded into TNC systems and or fileany internal forms (Location form, SAF, EAF, etc).
  • Communicate and answer questions related to their process to staff or guide them with the correct contact.
  • Prepare offer letters, letters in general, employment contracts and any other document needed on their processes and according to their responsibilities.
  • Prepare and send to Operations team any documentation related to the terminations.
  • Guarantee that information to hire new employees is collected, up to date, valid and it’s sent to the accountant vendors in each country on time.
  • Review and coordinate the signatures of documents (letters, employment contract, amendments, etc).
  • Make enrollments of new employees in every country’s social security platforms/systems.
  • Ask for support from Operations teams on communicating with accountant vendors in each country to guarantee they are executing any work related to the HROS and providing/requesting information that is important for HROS staff job.
  • Comply with data retention guidelines and SOP´s
  • Maintain communication with HRCCC (HR Global centralize documentation/data center)
  • Support with HR onboarding process for new hires.
  • Support HR Ops Coordinator on Compensation activities when needed.
  • Track and follow-up of metrics associated with the service and work.
  • Support the Merit process.
  • When needed, participate in projects in the region.
  • Support and be back up of other HROS team members as needed.
  • Other activities related to their work

 

WHAT YOU'LL BRING

  • Bachelor’s degree and 1-year experience or equivalent combination in administrative or HR positions.
  • Experience in business writing, editing, and proofreading.
  • Experience organizing time and managing diverse activities to meet deadlines.
  • Experience performing one or more administrative processes such as reporting time, filing documents, writing reports.
  • Technology skills, the candidate should be able to use different types of software (i.e. Enterprise Resource Planning - ERP Software), browsers, and applications (e.g. Zoom, Box, Microsoft teams, Canva, Miro - are examples only)
  • Experience working with Microsoft Office apps (mainly power Point, word and excel)
  • Experience working and communicating with a wide range of people with excellent customer service skills and focus. The candidate should be able to demonstrate ability to convey messages clearly, concisely and accurately to other persons outside its own domain area.
  • Experience operating and taking autonomously decisions under the scope of the work.
  • Experience on finding regular or innovative solutions to problems (instead of problems to solutions) and providing new ideas to do work more effectively.
DESIRED QUALIFICATIONS
  • Ability to communicate in English.
  • Experience participating in ERP custom design and implementation
