Position Summary:
The National Society of Black Engineers World Headquarters (NSBE WHQ) is seeking a detail-oriented proactive Human Resources and Talent Specialist to join our team. This role is essential to supporting the organization’s talent management initiatives, including full-cycle recruitment for NSBE WHQ and the National Society of Black Engineers Summer Engineering Experience for Kids (NSBE SEEK) program, onboarding new hires, and facilitating HR Processes that contribute to a positive and inclusive work culture. The ideal candidate will have experience in HR functions, be passionate about NSBE’s mission, and bring innovative ideas to enhance our talent strategy. This role will work closely with department heads and report to the Director of Human Resources.
Duties and Responsibilities:
Talent Acquisition & Recruitment:
- Manage the full-cycle recruitment process, including job posting, sourcing, screening, scheduling interviews, and onboarding.
- Collaborate with hiring managers to understand role requirements and create effective job descriptions.
- Develop and implement recruitment strategies that attract a diverse pool of qualified candidates, utilizing platforms like SEEK, LinkedIn, and industry networks.
- Track and report on recruiting metrics to improve efficiency and effectiveness. Collaborate with Program Managers to recruit and onboard seasonal staff for the NSBE SEEK summer program.
Onboarding & Offboarding:
- Oversee the onboarding process using ADP, ensuring new hires have a seamless and engaging experience.
- Prepare and manage onboarding documents, including offer letters, I-9 verification, and benefits enrollment.
- Conduct new hire orientations and serve as a resource for questions related to HR policies and procedures.
- Coordinate the onboarding and offboarding process with the IT Team, including exit interviews and the return of company property.
Employee Relations & Compliance:
- Ensure HR policies and procedures are understood and followed by all employees.
- Serve as the first point of contact for employee inquiries regarding HR policies, benefits, and programs.
- Maintain employee files and ensure compliance with federal, state, and organizational requirements.
HR Compliance & Administration:
- Maintain accurate and up-to-date employee records, ensuring compliance with federal, state, and local laws.
- Support HR audits and assist in the preparation of reports related to HR functions and metrics.
- Stay current on HR trends and best practices to ensure compliance and enhance HR operations.
- Assist in benefits administration, including open enrollment and employee inquiries.
NSBE Summer Engineering Experience for Kids (SEEK) Collaboration:
- Work closely with the NSBE SEEK program team to provide HR support in recruitment, onboarding, and compliance for SEEK staff.
- Oversee the onboarding of seasonal staff for NSBE SEEK, ensuring a smooth process and training completion.
- Assist in the management of NSBE SEEK staff payroll and HR-related activities during the program.
Payroll Administration:
- Process bi-weekly payroll using ADP, ensuring accuracy and compliance with payroll regulations.
- Manage payroll changes, including new hires, terminations, and salary adjustments
- Address and resolve payroll-related inquiries and discrepancies in a timely manner.
- Run reports as needed for Finance and Accounting and for HR audits.
HR Systems & Reporting:
- Utilize ADP to manage employee records, payroll updates, and benefits administration.
- Support HR reporting and audits as needed by maintaining accurate employee data and documentation.
- Assist in generating reports and tracking key HR metrics related to recruitment, onboarding, and employee satisfaction.
Additional Duties and Responsibilities:
- Experience working with non-profit organizations or educational programs is a plus.
- Previous involvement in recruitment and onboarding processes, particularly for seasonal or program-based roles like SEEK, is highly desired.
Qualifications:
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- 2-4 years of experience in human resources, with a focus on recruitment, onboarding, and payroll administration.
- Familiarity with HRIS and payroll systems, preferably ADP, and proficiency in Microsoft Office Suite.
- Strong understanding of HR compliance, labor laws, and best practices.
- Exceptional interpersonal and communication skills, with a high degree of professionalism and confidentiality.
- Strong organizational skills and attention to detail, with the ability to manage multiple projects simultaneously.
- Passion for NSBE’s mission to increase the number of Black Engineers who excel academically, succeed professionally, and positively impact the community.
- Experience working in a non-profit environment or educational programs.
- Familiarity with seasonal hiring and large-scale recruitment efforts for programs like SEEK.
- HR certification (PHR, SHRM-CP, or equivalent) is a plus.

Travel is required for the Annual National Convention, Fall Regional Conferences, National Transition and Leadership Conferences, SEEK Camp Sites. Occasional travel to other conferences, chapters, and other industry- related events may be required and assigned by management.
