Position Description:

The Kern National Network for Flourishing in Medicine (KNN) seeks to hire a Program Coordinator III to support the daily administrative activities across KNN’s learning and engagement initiatives.

This role carries out the functions of the learning and engagement initiatives under the leadership of the Learning Consortium Program Manager. The Program Coordinator will work closely with the Program Manager and collaborate with multiple roles and work groups within the KNN program office to work creatively, effectively and efficiently. Functions of this role include developing and/or sustaining successful processes, contributing to the development of learning and engagement experiences, developing project plans, upholding program timelines, tracking and delivering on deadlines, scheduling people and material resources, maintaining thorough records management, using data and information to inform decisions, and supporting the planning, implementation and delivery of the KNN’s learning and engagement initiatives.

This position communicates and coordinates internally and externally and participates in meetings, correspondence and events with leaders, national partners, speakers and instructors. This role must become effective at describing the work of the KNN, developing and maintaining strong relationships and delivering work that supports high quality learning and engagement experiences in alignment with the KNN’s strategic objectives.

Primary Functions

  • Execute planning and implementation of learning, engagement and program activities with a high degree of independence and across all aspects including budgeting and evaluation (e.g., educational events, training, member recruitment, orientation).
  • Serve as liaison from the KNN in correspondence with partners, speakers, member institutions, external/partner institutions and national organizations.
  • Develop and maintain processes and database(s) to track, schedule and record activities and information related to the program(s) and learning and engagement initiatives.
  • Create and execute work plans for the learning and engagement initiatives and revise as appropriate to meet changing needs, scope, and requirements and ensure timely and successful work completion.
  • Utilize effective tools and techniques, such as creating and maintaining project timelines and work plans, coordinating with KNN Program Office team members, and status reporting.
  • Serve as an expert regarding information, support, technical assistance and problem solving on a wide range of issues and questions for KNN learning and engagement initiatives.
  • Implement problem solving techniques to ensure successful project outcomes.
  • Assist the Program Manager and coordinate with members of the KNN Program Office to identify and secure appropriate resources for the KNN Learning Consortium, KNN-hosted events, learning experiences and engagement deliverables.
  • Working with the Program Manager, coordinate recruitment of members and speakers.
  • Ensure that all deliverables occur within the approved project scope, that outcomes meet approved project objectives, and ensure compliance with regulatory and institutional policies.
  • Develop accurate project estimates with the support of Program Manager and program office leadership that include timelines, cost, and resources for all phases of projects.
  • Coordinate the assessment of processes, learning experiences, engagement initiatives and other projects as assigned to highlight areas of strength, opportunities for improvement, and to identify possible solutions or new initiatives.
  • Develop reports and presentations and coordinate assessment and evaluation activities with a high degree of independence.
  • Design and create brochures, flyers, toolkits and other educational materials.

  • Task/Project Management - Able to independently manage projects and tasks; accurately complete wide-scope initiatives within budget and by the due date with high customer satisfaction. Able to work independently and ask for assistance only when needed. Able to identify, estimate, and complete tasks required for the project.
  • Technical Skills - Demonstrates a strong background in project management and enforces project management best practices and methodologies.
  • Problem Solving Skills - Able to recognize issues and determine priority. Able to quickly isolate and independently resolve issues utilizing all available resources. Able to proactively prevent issues from occurring again and to anticipate future issues. Able to stay focused on the root cause to solve problems.
  • Interpersonal/Customer Service Skills - Must be pleasant, courteous, and professional. Able to handle stressful situations in a calm and patient manner. Must maintain a positive attitude in all situations.

Preferred Schedule:
Fully Remote. Mon-Friday 8:00 a.m.-5:00 p.m.


Position Requirements:

Specifications

Minimum Required Education: Bachelor’s Degree

Minimum Required Experience: 5 years of experience

Preferred Experience: 5+ years of related experience in program planning, implementation and ongoing coordination with externally facing constituents.

Field: Preferred work experience in non-profit, association, and/or medical education or higher education industries. Program coordination working with speakers and partners, Program promotion, Learning Management Systems, Internet research, Utilization of databases for entering and accessing information, experience with evaluation and reporting.


30% of travel throughout the U.S. will be required with this position. Travel consists of going to other institutions and conference/events.
