Job Description

The Notre Dame Bioengineering & Life Sciences Initiative (BELS), a joint endeavor of the College of Engineering and College of Science and a key priority in the University’s strategic framework, is committed to advancing human health and wellness through interdisciplinary biomedical research and training—from fundamental discoveries through detection, prevention, and treatment of disease. This University-wide initiative represents an investment in science and engineering — unprecedented in scale at Notre Dame — that will create the capacity for transformative discoveries in human health, especially for vulnerable and underserved populations, and enhance research across multiple units.

The newly created position of Program Manager is a key member of the initiative’s small, highly motivated launch team. The Program Manager supports the overall initiative in a variety of ways, including by liaising with BELS constituents (faculty, students, staff, external partners, etc.), providing financial management for the initiative, assisting the Faculty Director, Associate Director, and Managing Director with the administration of the initiative, and other project-based work, as needed.

The essential duties of the Program Manager are to:

  • Facilitate and co-lead in the planning, implementation, and advancement of strategic priorities identified by the Managing Director, and contribute to and assist with other initiative operations and special projects, as needed;
  • Partner with the initiative’s faculty and staff directors, as well as the initiative’s Executive, Policy & Guidance, Research Strategy, and Infrastructure Investment Committees. This role will enhance the initiative by executing its processes and protocols, writing reports on behalf of the initiative, responding to faculty requests regarding programming, and delivering an overall exceptional level of responsive service;
  • In collaboration with the Managing Director manage the initiative’s finances, including preparing budgets, tracking expenditures, processing payments, submitting reimbursements, overseeing fellowship accounts, ordering supplies, and similar activities, to drive best practices for ongoing operations and budgets for unit activities;
  • Manage and execute academic meetings and events, including booking facilities, ordering catering, handling registrations, and arranging visitor itineraries and other special events throughout the year, exhibiting project management skills, a keen attention to detail, and proficiency in technology for hybrid in-person and virtual events;
  • Serve as the administrative point of contact between the initiative and its cohorts of postdoctoral and graduate student fellows to enhance the experience of the fellows during the academic year. This ranges from generating and tracking fellowship-related documents, to responding to requests, to helping foster a sense of community among these exceptional scholars.

Please note that this is a three-year, limited-term position. Extension beyond three years will be contingent on available funding.

Minimum Qualifications

  • Bachelor’s degree and at least 3 years of relevant experience.
  • Highly organized with ability to juggle multiple demands simultaneously
  • Strong written and oral communication skills
  • Self-directed, with willingness to take initiative
  • Relationship management experience
  • Proficient in Microsoft Office and Google Workspace applications (Google Calendar, Google Drive, Google Sheets, Google Docs)
  • Ability to learn Notre Dame software systems (GLez, BuyND, etc.)

Preferred Qualifications

  • Experience with or understanding of college or departmental administration and procedures
  • Knowledge of academic research and student training
  • Existing experience with ND software systems
